KLN Freight, also referred to below as “we”, processes personal data that concerns our customers, as well as those who are and have been employed within the group.

We protect personal integrity and strive for a high level of protection in all processing of personal data. All processing of personal data within KLN Freight takes place in accordance with applicable legislation.

What is personal data?

Personal data is all information that can be directly or indirectly, together with other information, linked to a living natural person. This means that information such as picture, name and contact details, etc., constitutes personal data.

What type of personal data do we collect and how is it used?

The personal data we process about you as an employee is primarily based on the information you provide to KLN Freight.
The personal data we may process about you includes name, address, email address, social security number, grades, certificates, education and work experience, photograph, test results, background check information, contact information for relatives and salary and account information.

We may also need to process sensitive personal data about you, such as information about your health. Health data is processed in order for us to fulfill our obligations as an employer.

In the event that you agree to be photographed or that you voluntarily provide/save a photograph of yourself, you agree that we process such a photograph.

It may happen that in connection with other specific occasions, at our request, you may be asked to approve additional conditions for the processing of your personal data.

Saving personal data

How long personal data is saved depends on the personal data and the purpose of its processing.

As a general rule, we will save personal data:

Data related to the application and recruitment process, during the current year for the most recent activity and then for 2 years
In employment contracts, until our pension obligations have ended.

Control data, until our pension obligations have ended.

Customer and supplier contracts and information about business events, during the contract period and then for 7 years

Which is in the respective mailbox for the period that we consider necessary to ensure that agreed business events do not disappear.

The mailboxes are saved in permission-controlled folders and can only be read by currently authorized personnel.

Regarding your user accounts, during your employment and for the time that we consider necessary to secure logs, etc.

Digital Channels

In addition to the information we process when you visit one of our Digital Channels yourself, we have specifically asked for consent to publish images, name, email address and telephone number in one of our Digital Channels.

Security for the protection of personal data

We value a high level of security for your personal data and have, for this purpose, taken appropriate technical and organizational security measures to protect your personal data from unauthorized access, modification, dissemination or destruction.

Limitations on the disclosure of personal data

We may engage external partners to perform tasks on our behalf, such as assisting with marketing, providing our IT operations and other services.
The performance of these tasks may mean that our partners gain access to your personal data. Companies that handle personal data on our behalf are always required to ensure a high level of protection for personal data through a personal data processing agreement.

We will not sell personal information or otherwise disclose your personal information to any extent other than as described here.

Right to information

You have the right to request that we stop processing your personal data at any time, in which case we will do so if there is no law or other regulation that obliges us to continue processing them.
You also have the right to receive information free of charge, once a year, upon written request signed by you, about which personal data we have registered about you and to have any incorrect information corrected.
Please bring this to the attention of your immediate manager on such an occasion.
